This Privacy Policy explains how OneAdsphere Limited ("OneAdsphere", "we", "us" or "our") collects, uses, stores and discloses personal information about you. It applies to all personal information we collect through our website (oneadsphere.com) and in the course of providing our services.
We are bound by the New Zealand Privacy Act 2020 and the information privacy principles contained within it.
1. What personal information we collect
We may collect the following types of personal information:
- Contact and identity information: your name, email address, phone number and company name — collected when you submit an enquiry form, book a call via Calendly, or contact us directly.
- Business information: details about your business, industry vertical, current marketing setup and goals — provided voluntarily during a strategy call or onboarding process.
- Usage data: information about how you interact with our website, including pages visited, time on page, and referral source — collected automatically via analytics tools.
- Communications: the content of emails, messages or call notes exchanged between you and our team.
We do not collect sensitive personal information (such as health information, financial account numbers or government-issued identification numbers) through our website.
2. How we collect personal information

- When you book a strategy call via Calendly

- Through advertising platforms (Meta, Google) when you interact with our advertisements
Where practicable, we collect personal information directly from you.
3. Why we collect and use personal information
We collect and use personal information for the following purposes:
- Service delivery: to provide, manage and improve the services you have engaged us to deliver — including lead generation campaigns, CRM setup, AI agent builds and reporting dashboards.
- Client communications: to communicate with you about your account, project status, performance reports and strategy recommendations.
- Sales and enquiries: to respond to enquiries, conduct discovery calls and assess whether we can help your business.
- Marketing: with your consent, to send you relevant updates about our services, case studies or industry insights. You can opt out at any time.
- Legal and compliance: to meet our obligations under applicable New Zealand law.
4. Cookies and analytics
Our website uses cookies and similar tracking technologies to understand how visitors use the site and to improve your experience. The types of cookies we use include:
- Analytics cookies: We use Google Analytics to collect anonymised data about website traffic and behaviour. This data does not identify you personally. You can opt out via Google's opt-out tools.
- Advertising cookies: We use the Meta Pixel and Google Ads conversion tracking to measure the effectiveness of our advertising campaigns. These tools may set cookies that track your activity across websites.

4a. AI chatbot on this website
Our website includes an AI chatbot ("OneAdsphere AI") — the same conversational AI we build and operate for our clients. When you interact with the chatbot:
- What we collect: the messages you send, any contact details you choose to share (name, email, phone, business name, industry, monthly lead volume), and metadata such as the page you opened the chat from and an anonymous session identifier.
- How it's processed: messages are sent to our LLM providers (OpenAI and/or Anthropic) and our voice/chat orchestration provider (Vapi) to generate responses. Providers process the message in transit and do not use OneAdsphere conversations to train their public models, per their respective enterprise data policies.
- What we store: conversation transcripts are stored in our dedicated CRM workspace, linked to your contact record if you share contact details. Transcripts may be reviewed by Sahil Chand and Akaash Shashikumar to improve the chatbot, identify bugs, and follow up on leads.
- How long we keep it: transcripts are retained for up to 24 months from the date of the conversation, then deleted or anonymised. Booked appointments and contact records follow the retention rules in Section 6.
- Your choices: you don't have to use the chatbot — every page also offers an email contact and a Calendly booking link. If you've used the chatbot and want your transcript deleted, email [email protected] and we will action it within 14 days.
- What we don't do: we don't sell chatbot conversations, we don't share them with other clients, and we don't use them as public marketing material without your written permission.
5. Third-party services and disclosure
We may share your personal information with the following third parties, solely for the purposes described in this policy:
- Meta Platforms (Facebook/Instagram): for the purpose of running paid advertising campaigns on your behalf. Governed by Meta's Data Policy.
- Google LLC: for Google Ads campaign management and Google Analytics. Governed by Google's Privacy Policy.
- Calendly: for booking and scheduling strategy calls. Governed by Calendly's Privacy Policy.
- CRM platforms (such as GoHighLevel, HubSpot, Close CRM): used to manage leads and client communications as part of service delivery.
- Cloud infrastructure providers: for secure data storage and hosting.
- Professional advisers: lawyers, accountants and auditors, under confidentiality obligations.
We do not sell, rent or trade your personal information to third parties for their own marketing purposes.
We may disclose personal information if required to do so by law or in response to a valid request by a public authority (e.g., a court order or government agency).
Some third-party services are operated from outside New Zealand. Where we transfer personal information overseas, we take reasonable steps to ensure it is protected consistently with the Privacy Act 2020.
6. Data retention
We retain personal information for as long as is necessary to fulfil the purposes for which it was collected, or as required by law. In general:
- Client account records are retained for seven (7) years following the end of our engagement, for legal and tax compliance purposes.
- Enquiry and contact form submissions that do not convert to a client engagement are deleted or anonymised within 24 months.
- Analytics data is retained in accordance with the default retention settings of the relevant platform (e.g., Google Analytics).
When personal information is no longer required, we take reasonable steps to securely destroy or de-identify it.
7. Security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. Our security measures include access controls, encrypted communications (HTTPS), and secure cloud storage. However, no transmission of data over the internet is completely secure, and we cannot guarantee absolute security.
8. Your rights under the Privacy Act 2020
Under the New Zealand Privacy Act 2020, you have the right to:
- Access the personal information we hold about you.
- Correct any personal information we hold that is inaccurate, out of date, incomplete or misleading.
- Request deletion of your personal information, subject to our legal retention obligations.
- Withdraw consent to our use of your personal information for marketing at any time.
- Make a complaint to the Privacy Commissioner if you believe we have breached the Privacy Act 2020.
To exercise any of these rights, please contact us using the details below. We will respond to your request within 20 working days as required by the Act.
